ReplyHey GmbH (“ReplyHey”, “we”, “us”) operates the ReplyHey service. We are the data controller for the personal data described below. You can reach us at privacy@replyhey.com.

Data we collect

• Account data — your name, email address, and workspace details when you sign up.
• Content — form submissions, inbound messages, knowledge-base material, and replies you create or receive through the service.
• Billing data — handled by our payment processor; we store only a customer reference, not card numbers.
• Usage and device data — log data such as IP address, browser, and pages visited, used to operate and secure the service.

How we use it

We use personal data to provide and maintain the service, generate AI-assisted replies, process payments, communicate with you, prevent abuse, and comply with our legal obligations. Our legal bases are performance of our contract with you, your consent where required, and our legitimate interests in running the service.

Service providers

We share data with processors who help us run the service, including authentication, database hosting, email delivery, payment processing, and AI model providers. They may process data outside your country; where they do, we rely on appropriate safeguards such as Standard Contractual Clauses. We never sell your personal data.

Cookies

We use strictly necessary cookies to keep you signed in and secure your session. We do not use advertising cookies.

Retention

We keep personal data for as long as your account is active and as needed to provide the service. After you close your account we delete or anonymize your data within a reasonable period, except where we must retain it to meet legal obligations.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your data, object to processing, or withdraw consent. To exercise any of these, email privacy@replyhey.com. You also have the right to complain to your local data protection authority.
